Month of Wedding Planning and Coordination

At Cedar Valley Forest you can hire an in-house planner/coordinator to help your wedding day go off without a hitch. Planners/Coordinators are staff of Cedar Valley Forest, which means they are familiar with our property, know how to best address and resolve any issues, should any arise. When you hire one of our coordinators, you also get access to the Cedar Valley Forest golf cart for the day.

Six Weeks Prior to Your Wedding:

6 week final review: At this time a floor plan will be created, timeline will be discussed, any decor needed from CVF will be planned out, questions will be answered and all the little details will be finalized.

Collect Vendor Contact information and reach out to each individual vendor to coordinate with them the logistics of your day.

Create a Day of Timeline with all the events of the day, including arrival/departure times of the vendors, special notes to be shared with vendors and the couple.

Three Weeks Prior to Your Wedding:

In person meeting.

 

Finalize details/decor.

 

Review floor plan.

 

Talk through the wedding day timeline.

 

Go over vendors and their needs.

 

Gather a list of “wedding helpers” to help decorate.

Dress Rehearsal:

Your coordinator will organize the rehearsal and make sure all wedding party- including parents and grandparents know where they are to walk & sit/stand.

 

 

Coordinator will finalize with the officiant/Pastor/etc the ceremony timeline.

Wedding Day Coordination:

Your coordinator will facilitate on time arrival of hair and makeup stylists.

 

Coordinate any food deliveries and set up.

 

Make sure personal flowers such as bouquets and boutonnieres are set up in the bridal suite.

 

Make sure all vendors arrive on time.

 

Organize decorating and help decorate.

 

Clean chairs and prep outdoor ceremony site.

 

Drive you and your bridal party around the property for photos in the CVF golf cart.

​

Assist in setting up programs and other ceremony items i.e. guest book, unity candle, etc.

Ensure musicians or DJs arrive on time and they are directed to the correct locations.

 

Keep the bride and groom on task and on their scheduled timeline.

 

Drive any guests, who need assistance, to ceremony site.

 

Line up bridal party and cue them when to go.

​

Meet with DJ to confirm the introductory list.

 

Meet with caterer to confirm food timeline.

 

Ensure proper flow of cocktail hour.

​

Cue band or DJ when the guests have found their seats and bride and groom are ready for Grand Entrance.

 

Cue vendors when important events are about to take place i.e. first dance, cake cutting, toast, etc.

 

Cue best man, maid of honor, parents when they are about to be announced for toasts.

 

Prevent and fix any problems that may arise during your event.

 

Remain easily accessible through the entire event in case there are any details you would like attended too.

 

Pack up gifts/cards, miscellaneous ceremony and reception items and have them ready.

It is the coordinator’s job to help you with the cleanup process at Cedar Valley Forest .

 

Taking out trash.

 

Making sure you return all CVF decor in correct tubs/and carts.

 

Takes linens off tables and places them in linen bags OR

 

Place spandex in correct tubs to be washed by other CVF staff.

 

Ensure you take home all food and beverages.

 

Don’t forget any of your belongings.

Decorating Services

Hire a Cedar Valley Forest decorator to take all the stress out of decorating the venue, outdoor patio, and ceremony site for you. While we decorate, you can enjoy breakfast provided by us and your choice of mimosa or coffee bar, with all your favorite people.

Eight Weeks Before Your Wedding:

You will meet with your decorator eight weeks before your wedding to go over your final wedding details. Your decorator will then provide ideas and samples to help bring your vision to life.

Wedding Day:

We will decorate the following, while you sip mimosas.

  • Entry doorway to the Barn

  • Back drop for head table

  • Head table

  • All tables guests will be seated at with centerpieces, chargers, place settings, napkins, etc.

  • Setting up bar signs and menus

  • Decorating gifts/cards tables

  • Memorial table

  • Guest favors table

  • Desert table

  • Outside bar, patio and fire pit

  • Front gate with any signs or balloons you want out there

  • Ceremony site arbor

  • Ceremony site chairs, aisle, and guest walkway to ceremony site
